Booking Agents Terms & Conditions

These terms and conditions may be amended from time to time and apply to all our services.

By accessing, browsing, using and/or completing a reservation through our website you acknowledge and agree to have read, understood and agreed to the terms and conditions set out below.

Ancient Greece Tours & Transfers is a tour operator, offering a wide range of private luxury tours and transfers in Greece.

Ancient Greece Tours collaborates with global Travel Agencies distributing its portfolio of private luxury services to their respective audiences.

Via a Booking area specifically created for the registered Travel Agents, the latter gain booking access to the available experiences directly from the booking system’s back-end.

1. Registration process

The Booking Agent needs to fill and submit the information requested by the online form which can be found on the page Agents Sign Up at the Top Bar of the website.

After screening of the submitted information by the team of Ancient Greece Tours, the Booking Agent will be notified via email regarding the approval of his/her registration.

The agent will also receive a unique URL via which he/she will have direct access to the Booking Area and AGT’s portfolio of services and temporary credentials for the initial login.

2. Payment Structures:

a. Purchasing the experience using the customer’s credit card. In this case, the gross amount of the tour must be paid.

b. Purchasing the experience using own credit card, on behalf of the customer. In this case, the net amount must be paid, calculated by the system during the checkout process.

3. Commission rates

Booking Agents are entitled to a 12% commission on the available private services’ price catalog.

Where a Gross / Net Travel Agency chooses to pay Gross, commission will be paid. Ancient Greece Tours will pay the commission back to the Travel Agency once the service has been consumed, 14 days after the final check-out on the Confirmation Summary.

The commission will be paid through electronic transfer. For the electronic transfer to take place, the relevant bank account information is required to be on file in order for commission to be paid.

It’s the responsibility of the Travel agency to provide the below info at the time of booking, in order for the commission transfer process to be as smooth as possible.

4. Early Termination

Notwithstanding any other provision of this Agreement, Ancient Greece Tours may at any time give not less than 30 days notice in writing of termination of the Travel Agency Account, and this Agreement will terminate at the end of that period.

Travelers Bookings Terms & Conditions

Bookings can be made directly through Ancient Greece Tours & Transfers, its sub-brands and/or any other website through which Ancient Greece Tours & Transfers makes its services available. If you are having any problems booking through Ancient Greece Tours & Transfers website www.ancientgreecetours.com then please contact our Customer Support Team.

Ancient Greece Tours & Transfers reserves the right to alter itineraries and/or timetables should it be necessary, due to adverse weather and or other related conditions. Ancient Greece Tours & Transfers is not responsible for expenses and/or other related costs due to factors outside of its control, such as flight delays, changes and or cancellations, injuries, weather, war, natural disasters etc. and/or other unforeseeable matters. You are responsible for providing Ancient Greece Tours & Transfers with the correct contact information and related details so that we can keep you informed in the event of changes made to the services booked.

1. Prices

Please note that all prices for the services provided by Ancient Greece Tours & Transfers and its sub-brands are in the company’s local currency, Euro (EUR). As a local operator Ancient Greece Tours & Transfers cannot be responsible for currency fluctuations and or additional fees outside its control that may be applied such as bank transfer fees, credit card fees etc.

2. Special offers & Promotional codes

Please note that special offers such as promotional codes cannot be applied to a reservation after purchase has been made such as in the form of a refund. When offered, promotional codes and/or other special offers, must be added into the relevant field located on the payment page upon check out at the time of booking in order to be valid.

The Instant Discount offered occasionally, refers to the full payment of the respective service and cannot be applied if a Deposit payment method is chosen by the user. The user, following the checkout process, he will receive the discount instantly by choosing the Full Payment option.

3. 20% Deposit Balance Payment

In case of a Deposit, the 20% of the original amount is requested and the remaining balance must be paid 10 days before the respective service via credit card, using the the Credit Card Authorization Form as standard protocol.

The customer will print, fill, scan the CC Authorization Form and send the document to Ancient Greece Tours via email giving his/her written consent to the company to charge his/her credit card with the agreed amount.

Failure to pay the remaining balance before the respective service without notice via email to book@ancientgreecetours.com or different advice by the Ancient Greece Tours Operations department, will result to the automatic cancellation of the booking.

Sensitive Data Collection and Security

The company takes all the necessary security measures in order to ensure the secure usage of the data collected in the following ways:

a. The Credit Card Authorization Form is requested to be filled by hand by the customer, is scanned by the customer and sent to the company via email as pdf or image. The specific formats cannot be intercepted by malicious software or third parties because they don’t consist of data and thus cannot be individually manipulated.

b. Ancient Greece Tours Finance Dept. employees who handle the data are bound by a non-disclosure agreement in terms of handling the data and any customer’s sensitive information, according to EU legislation.

c. The Form and written communication state clearly the company information and amount to be charged by Finance Dept as 20% of the total amount of the tour and transfer services or/and the hotel reservations. Ancient Greece Tours is authorized by the customer to charge ONLY the aforementioned and mutually agreed amount which is clearly stated.

d. All information and credit card data are permanently removed from the company’s systems after the transaction is successfully completed.

e. All transactions receipts are kept by the company and sent to the customer upon completion of the transaction by email and handed over to the customer at the beginning of the agreed Private Tour or Transfer as hard-copies.

4. Pick-up & Drop-off Services

Ancient Greece Tours & Transfers offers customized pick-up and drop-off services for all its tours. We pick you up from Athens, Athens International Airport, Pireaus, Pireaus Port, Corinthian Region, Argolis Region and All hotels & Airbnb apartments of these locations, offering a true door-to-door experience.

You as the traveler are responsible for your pick-up, this includes providing Ancient Greece Tours & Transfers with your accurate pick-up location in time as well as being ready at the correct time for the pick-up of your tour. Ancient Greece Tours & Transfers will provide you with information about your pick-up time on your voucher which is provided upon booking. If you are unsure when to be ready for your scheduled private tour then please contact our Customer Support Team.

Please note that missing the pick-up does not entitle you to a refund of the price paid for the services. You are responsible to be ready for pick up at the assigned pick up point at the agreed time in order to not delay your adventure.

5. Travel insurance

As with any and all world travel, we strongly recommend that you purchase a travel insurance policy in your home country that covers your cost should you have to cancel your travel reservation with short notice. These kind of travel insurances are not expensive and frequently cover other risks. Having travel insurances is always a good idea when traveling around the world.

6. Clothing

Appropriate casual and non-slip footwear and comfortable outdoor clothing is recommended for our private tours. A dress code is required to enter places of worship and selected museums. No shorts or sleeveless tops allowed. Knees and shoulders MUST be covered for both men and women. Please make sure that you read the details of the itinerary in order not to risk your entry to these places.

7. Assumed risk & Outdoor activities

Guests/Clients are advised that all activities are undertaken entirely at their own risk and they must always behave in a fit and proper manner in accordance with Ancient Greece Tours & Transfers or their partners’ guidelines and must take proper responsibility for their own safety. All adventure tours and outdoor activities carry inherent risks and Ancient Greece Tours & Transfers, or its partners do not assume any responsibility for accidents that are caused by its customers or can be traced to their own actions or are caused by factors outside of human control. With the purchase of your trip you agree to these conditions, understand its implications and accept responsibility for your participation in your trip.

Children less than 18 years old, must be accompanied by their parents.

8. Alcohol and drugs

We reserve the right to refuse participation to clients we believe are under the influence of alcohol or drugs, in such circumstances, no refund shall be given. Our guides reserve the right to refuse participation to any customer whose conduct or manner is likely to cause offence, upset or put other passengers in danger. In such cases, full cancellation charges apply.

9. Reviews & Feedback

Ancient Greece Tours & Transfers welcomes all feedback, both positive as well as less positive as it helps us improve our overall services and performance. We would greatly appreciate it if you could share your tour experience with us.

10. Customized Day & Multi-day Tours

Ancient Greece Tours can customize and provide custom services to customers according to their personal interests, in case the day tour or multi-day tour schedule does not already exist as an option.

In these occasions, Ancient Greece Tours, uses the Credit Card Authorization Form as a standard protocol to charge 20% prepayment for its Private Tours and Transfer services and payment in full for hotel reservations to confirm the booking of the service. The remaining balance must be paid 10 days prior to the respective service via credit card following the same process.

The customer will print, fill and scan the CC Authorization Form and send the document to Ancient Greece Tours via email giving his/her written consent to the company to charge his/her credit card with the agreed amount.

Ancient Greece Tours & Transfers Cancellation Policy

All cancellation fees held by Ancient Greece Tours & Transfers are only intended to cover our direct cost of amending and/or canceling your reservation.

All communications relating to these terms and conditions (in particular any requests to cancel or amend your tour arrangements) must be from the lead traveler of each reservation. Once delivered the amendment and/or cancellation needs to be confirmed by Ancient Greece Tours & Transfers before further action can be taken. If reimbursement is in order, then it shall be made in accordance with all procedures and processed as quickly as possible, and the stipulated amount will be transferred to the same credit card that was used upon booking. Please note that we cannot be responsible for delays of the delivery of the reimbursement to your account once it has been processed on our end. For tours purchased through another vendor please reach out to the vendor directly with your refund and/or cancellation request.

Cancellation fees & charges

As we start to incur costs from the time the booking is confirmed we will apply cancellation charges as shown below from the time when written notification of the cancellation is received:

For all bookings of day tours operated by Ancient Greece Tours & Transfers (or any of Ancient Greece Tours & Transfers sub-brands), a minimum of 24 hours’ notice of cancellation prior to your scheduled tour departure is required for a full refund.

If a cancellation is made with less than 24 hours’ notice prior to departure no refund will be provided. For the 24-hour policy to be applicable cancellations need to be made and delivered to Ancient Greece Tours & Transfers via e-mail. The 24-hour policy does not honor cancellation requests sent through other channels.

The 20% deposit paid is non refundable, regardless of the cancellation time frame.

Cancellations with 30 days’ notice before trip departure:

You will be refunded 80% of the total tour price. 20% is non-refundable, as this represents our direct cost of booking and preparing your experience.

Cancellations with 14 days’ notice or less before trip departure:

You will be refunded 70% of your total tour price. 30% is non-refundable, as this represents our direct cost of canceling any arrangements made for your tour.

Cancellations with 7 days’ notice or less before trip departure:

You will be refunded 50% of your total tour price. 50% is non-refundable, as this represents our direct cost of canceling any arrangements made for your tour.

Cancellations with 24-hours’ notice or less before trip departure:

No refund will be given if tours are cancelled within 24 hours or less before departure of the experience, as Ancient Greece Tours & Transfers will be charged for all operating costs.

The 20% deposit paid is non refundable, regardless of the cancellation time frame.

Please make sure to fill in and/or provide all necessary details upon booking your adventure tour/s. Once you have completed the booking process a booking confirmation will be sent to you via email, containing your booking number and the voucher/s for the services booked. The voucher will be your proof of payment so please bring it with you on the day of your tour.

Please note that you are responsible for carefully checking all details on your confirmation and related travel documents to ensure that they are correct. In the event of a discrepancy, such as booking mistakes where the wrong date and/or an incorrect number of participants was booked please contact Ancient Greece Tours immediately as it may not be possible to make amendments to your reservation when it gets closer to your departure date.

Ancient Greece Tours & Transfers cannot be responsible for mistakes in the booking process.
